How to select the correct bank account for reconciliation in Reconciliations

user

Learn how to prevent reconciliation errors caused by incorrect automatic bank account selection. This guide will help you ensure the correct account is always processed.

Step by step

  1. 1

Verify reconciliation status and processed bank movements

Access the reconciliation in question within the Reconciliations interface. Review the current status and the number of processed bank movements. If the number of movements is 0 or significantly low, it is likely that the system did not correctly identify the bank account from the statement.

  2. 2

Identify the correct bank account in the statement

Examine the bank statement in PDF format. Identify all bank accounts present (e.g., pesos, dollars) and determine which specific account you wish to reconcile. Note down the account number or any relevant identifier.

  3. 3

Explicitly select the bank account when starting a new reconciliation

When starting a new bank reconciliation, upload the PDF statement and wait for its accounts to be identified. The account selection section appears with the instruction “Select the bank account from which you want to obtain the information to reconcile” and a dropdown whose initial option is “Select a bank account”. If the statement contains exactly one identified bank account, the system selects it automatically. If it contains multiple accounts, the system selects the account configured in the template when it matches one of the identified accounts; otherwise, you must explicitly select an account from the dropdown. Before continuing, check that the selected account number and currency match the account you want to reconcile.

  4. 4

Update the reconciliation template to save the default account selection

After choosing the account, complete the reconciliation setup and click “Save template” at the final step of the wizard. The explicitly selected bank account is saved in the template along with the other reconciliation options. For subsequent runs, use the same template: if the saved account is present in the new statement, it will be selected automatically. If it is absent or you need to reconcile a different account, choose the account in the dropdown and save the template again to retain the change.

  5. 5

Review general ledger error details if problems persist

If, despite selecting the correct account, the reconciliation still presents issues, the origin might not be the account selection. Access the general ledger error section within the reconciliation to identify other possible causes, such as differences in amounts, dates, or references.
