How to Save Changes and Submit Invoices in DigitAI

user

Learn how to correctly save your invoice modifications and submit them for final processing in DigitAI, preventing data loss and ensuring workflow continuity.

Step by step

  1. 1

Understanding the Green Row Confirmation Checkmark

When editing an item in an invoice, you will see a green checkmark (✓) next to the row. This icon indicates that the edit for that specific row has been confirmed in your current session's memory. It is crucial to understand that this action *does not* save the changes to the DigitAI system or make them persistent. If you close the application or navigate to another section without saving, the changes for that row will be lost.

  2. 2

    Saving Changes as a Draft

To save the changes made to the invoice and be able to continue editing it later, you must use the 'Save Draft' button. This button is located [MISSING: Location of the 'Save Draft' button]. By clicking it, DigitAI will save all pending modifications to the system, allowing you to close the invoice and resume it at another time. An on-screen confirmation [MISSING: Describe on-screen confirmation, e.g., 'a success message'] will indicate that the changes have been saved correctly.

  3. 3

Submitting the Invoice for Final Processing

Once the invoice is complete and ready to be processed, you must use the 'Submit' button. This button is located [MISSING: Location of the 'Submit' button]. By clicking 'Submit', the invoice will be sent to DigitAI's validation and final processing circuit, changing its status and moving it to the next step of the workflow. This action is irreversible [MISSING: Confirm if the action is irreversible or if the status can be reverted] and means the invoice will no longer be available for direct editing by the user.

  4. 4

Key Differences and Invoice Status Impact

It is crucial to distinguish between these actions: the green checkmark only confirms a row edit in your session; 'Save Draft' saves the invoice to the system for future edits; and 'Submit' sends the invoice for final processing. The invoice status will change from 'Draft' to [MISSING: Invoice status after submission, e.g., 'Pending Validation'] once submitted, and it will no longer be directly editable. Ensure you use the correct option according to the stage of the process you are in.
