How to Adjust Rounding and Internal Tax Discrepancies Before ERP Export

DigitAIAccounting operatorAdministrator

This article explains how to resolve cent differences in DigitAI invoices that prevent correct ERP import, addressing rounding and perception adjustments.

Step by step

  1. 1

Validation Criteria and Tolerances in DigitAI

DigitAI applies mathematical validation criteria to ensure consistency across voucher amounts. The standard tolerance for simple vouchers is $0.01 (1 cent). In ERP integrations, a hybrid formula (absolute minimum + relative percentage) is applied to prevent blocks caused by issuer rounding differences: - FOCA Software: $0.02 or 0.01% of the amount (whichever is greater). - Albor Agro: $0.10 or 0.01% of the amount (whichever is greater). - Nexia: configurable, with a fallback of $1.00 or 0.1%. For internal taxes, tolerance scales with invoiced units (e.g., in FOCA: max(0.02, units * 0.005)) to account for 2-decimal rounding in unit prices. For cross-reconciliation (Invoice vs Purchase Order) in IAM, margins are configurable via number_tolerance / money_mapping_tolerance (default is 0).

  2. 2

Review and Adjustment in the Detail / Edit View

When a discrepancy exceeding ERP tolerance is detected, open the voucher detail/edit view in DigitAI. In the footer/totals section and the line items grid, inspect Taxable Subtotal, VAT Rates, Perceptions, and Internal Taxes. Correct the cent discrepancy in the corresponding field to align it with the original fiscal document prior to dispatch.

  3. 3

Handling Provincial Perceptions and Internal Taxes

For provincial perceptions or line-item internal taxes, verify that the sum of line items matches the footer total. If the difference arises from unit-price internal tax rounding, manually adjust the field in the edit grid or footer as appropriate according to the fiscal voucher rules, ensuring it remains within the ERP connector allowance.

  4. 4

    Pre-Confirmation Verification

Before confirming the document for ERP export, perform a final check of all amounts. Ensure that the sum of Subtotal, VAT, perceptions, and internal taxes matches the voucher total within the destination ERP tolerance. This ensures a clean import without errors in the accounting system.
